Project Coordinator – HR Technology (Phenom CRM Implementation)

Orion Group is seeking a Project Coordinator – HR Technology to support a high-visibility Talent Acquisition (TA) transformation initiative for our pharmaceutical client. This role will focus on coordinating the implementation of a Phenom Candidate Relationship Management (CRM) platform, partnering closely with Talent Acquisition, HR Operations, Business Technology Systems (BTS), Analytics, and external vendors.

Key Responsibilities
TA CRM Implementation & Project Coordination
  • Coordinate end-to-end delivery of TA-related workstreams for the Phenom CRM implementation, from kickoff through go-live, hypercare, and ongoing support
  • Develop and maintain detailed project plans, timelines, milestones, dependencies, and work breakdown structures
  • Partner with TA leaders, recruiters, HR Operations, BTS, and Analytics teams to gather, validate, and document requirements
  • Act as the primary liaison between internal stakeholders and external vendors (including Phenom) for TA-related deliverables
Execution, Testing & Readiness
  • Coordinate testing phases including UAT, defect tracking, and release readiness
  • Monitor progress against deliverables and proactively identify risks, issues, and dependencies
  • Develop mitigation and contingency plans in collaboration with business and technology partners
 
Change Management & Adoption
  • Support change management efforts by engaging stakeholders early, documenting current and future-state processes, and assisting in training development
  • Help drive adoption of the new CRM platform across Talent Acquisition teams
Reporting & Communication
  • Provide clear, concise project updates and executive-level status reporting
  • Ensure alignment across cross-functional teams in a highly matrixed environment
Required Qualifications
  • 5+ years of project coordination or project management experience supporting enterprise technology implementations
  • Bachelor’s degree in HR, Information Technology, Business, or a related field
  • Experience supporting HR systems, Talent Acquisition functions, CRM platforms, or Applicant Tracking Systems (ATS)
  • Proven ability to manage cross-functional stakeholders and external vendors
  • Strong organizational, communication, and problem-solving skills
  • Ability to operate independently and drive results with minimal oversight
Preferred Qualifications
  • Hands-on experience implementing Phenom or similar TA CRM platforms
  • Experience integrating CRM platforms with ATS systems (e.g., SmartRecruiters, Workday)
  • Experience working in large, global, matrixed organizations
  • PMP, Agile, or Scrum certification
  • Change Management certification
